Policy Statement 

The Health Promotion Forum of NZ (HPF) complies with the New Zealand Privacy Act 2020 (the Act) when dealing with personal information. Personal information is information about an identifiable individual (a natural person).  

HPF needs to gather and use certain information about individuals. All transactions, records and information pertaining to any and all personal or operational business of HPF are held in strict confidence both during and after any period of engagement with HPF. All third-party information is held in strict confidence, subject to the Act, governing release or disclosure of such information. 

The collection of any information has a lawful purpose related to the activities and functions of HPF.  

 

Purpose 

The purpose of this policy is to let users of hpfnz.org.nz (the “Site”) know how we will collect, use, disclose and protect your personal information. We do not use, share or transfer personal information in connection with the Site except as set out in this policy.

Our privacy practices primarily comply with the New Zealand Privacy Act 2020; however, for individuals located in the European Union, we endeavour to align to the standards outlined in the General Data Protection Regulation (GDPR) where applicable. Changes to this policy 

We may change this policy by uploading a revised version onto our website. The change will apply from the date that we upload the revised policy.

Personal information 

We collect personal information about you from: 

  • you, when you have provided that personal information to us, including via the website and any related service, through any registration or subscription process, through any contact with us (e.g. telephone call or email), or when you use our services; 
  • third parties where you have authorised this or the information is publicly available. 

HPF always protects the privacy of its members, and all information collected is used for the express purpose for which it was provided. Only information that is necessary is collected. Where possible, we will collect all personal information from you directly. 

Personal information we collect may include: 

  • your name; 
  • your date of birth; 
  • your ethnicity; 
  • your gender; 
  • your email address; 
  • your telephone numbers; 
  • your postal addresses; 
  • your occupation and business information; 
  • and any other information provided to us for the purpose of your membership or course registration. 

 

We will use your personal information for the following purposes: 

  • to create and maintain your HPF membership account; 
  • to register you for our courses and webishops when you have enrolled; 
  • to provide our services to you; 
  • to market our services to you, including contacting you electronically (e.g. by email for this purpose); 
  • to improve the services that we provide to you; 
  • to invoice you for any services provided and to collect any money owed to us; 
  • to respond to communications from you; 
  • to conduct research and statistical analysis; 
  • for any other purpose authorised by you or the Act. 

 

Disclosing your personal information 

We will only ever disclose your personal information to a third party where you have expressly provided your consent to do so. 

Student/attendee information collected is not released to any third party unless it is with the consent of the student/attendee (unless in the case of the Certificate of Achievement where the information is passed to the Manukau Institute of Technology as part of registration and graduation processes). 

 

Statistical information and cookies 

We may collect statistical information about your visit to help us improve the Site. This information is aggregated and non-personally identifying. It includes: 

  • your IP address; 
  • the search terms you used; 
  • the pages you accessed on our Site and the links you clicked on; 
  • the date and time you visited the Site; 
  • the referring site (if any) through which you clicked through to this Site;  
  • your operating system (e.g. Windows XP, Mac OSX); 
  • the type of web browser you use (e.g. Internet Explorer, Microsoft Edge); and 
  • other incidental matters such as screen resolution, the release of your installed Flash version and the language setting of your browser.  

 

Use of Statistical Information The statistical information referred to above will be viewable by Site administrators and other HPF staff.  

Cookies This Site generates persistent session cookies for the purpose of monitoring Site usage. The cookies do not collect personal information. You can disable them or clear them out of the web browser you are using to view this Site without affecting your ability to use the Site.  

 

Protecting your Personal Information 

We keep your information safe by securely encrypting it both in transit and at rest and only allowing authorised staff to access it. 

Our Site has security measures in place to prevent the loss, misuse and alteration of information under our control. In order to maintain the cyber security of systems and information, our systems are subject to ongoing monitoring (including activity logging), analysis and auditing. 

HPF has put in place procedures to deal with any suspected personal data breach and will notify users and any applicable regulator of a breach where legally required to do so. 

We may use information about your use of our websites and other IT systems to prevent unauthorised access or attacks on these systems or to resolve such events.

Rights of access and correction 

Under the Privacy Act 2020, you have the right to access and to request correction of any of your personal information provided to HPF in connection with your use of this Site. If you would like to see the personal information relating to you that HPF has stored, or to change such personal information, or if you have any concerns regarding your privacy, please contact us at the address set out below. HPF may require proof of your identity before being able to provide you with any personal information.
